Send out invitations
Once you have locked in that date and paid your deposit, it’s time to get people there!
As a work event, the easiest way to invite everyone would be digitally via email, it ensures the invite doesn’t get lost and is easy to set reminders for RSVP.
Organise décor
It’s a celebration, so it is important to make it look and feel like one. Small details such as balloons or flowers on your table could go a long way. Further, you could brand this event by adding your company logo and colours to your invites, menus, event sign & more. Picking out suppliers post-covid is almost as hard as finding an available venue, so don’t leave this detail on the back burner for too long.
Make a run sheet
Before we kick off the party, the real celebration must be addressed with some formalities. Ensure you have some ‘short but sweet’ formalities from Management to recognise the years achievements and make a toast.
Other than the timing of this speech, you may like to work with your venue to organise set times for food and beverage service. Or if you have some sort of entertainment, make sure you pencil them in. This will give a clear overview of the event and ensure it flows smoothly.
Collect RSVPs and finalise last details
The event is coming close, make sure communication is open between all your suppliers/venue and consider the following things
- Does your venue have final numbers
- Dietaries
- Follow up those last-minute RSVPs
- Make final payments
- Organise delivery/pick up times for decor
- Reread run sheet and send to management
